1.0 Purpose
1.1 To describe a procedure for Receipt, Storage and Issuance of Chemical, & Glass wares.

2.0 Scope
2.1 This standard operating procedure is applicable for Receipt, Issuance and Storage of Chemical, & Glass wares in Quality Control laboratory at abc  Pvt. Ltd.,

4.0 Accountability
4.1 Manager Quality Control is accountable for implementation and compliance with SOP.

5.0 Procedure
5.1 Indenting & Receipt
5.1.1 Executive of designee QC checks the “Stock Register” for need to indent any chemicals or glass wares.
5.1.2 Prepare a note considering the requirements and forward to in-charge QC for approval.
5.1.3 In charge QC reviews the requirements and approves the Indent.
5.1.4 Forward the indent to Purchase department.
5.1.5 Purchase department arranges the chemicals or glass wares as per indent.
5.1.6 Receive the chemicals and glassware. An authorized person deputed by Executive Quality Control

checks that the received chemicals/solvents or glassware’s are as per the indent.
5.1.7 After receiving the glassware`s officer QC or designee Check the certificate of “A” grade

glassware`s. If the certificate of “A” grade glassware`s are not found with glassware during the

checking, QC personnel shall inform the Quality Control Manager for corrective action.
5.1.8 The packaging condition of the containers / packs or bottle`s for any damages etc After receiving

the chemicals, officer QC or designee Check the packaging condition of the containers / packs or bottle`s for any damages etc.
5.1.9 Any discrepancies observed during the checking, QC Manger shall reject the entire consignment.
5.1.10 After Receiving and checking, Affixes a label containing the following details:
5.1.10.1 Name of Item, Batch No., Make, Date of Receipt, Date of Opening, Use before Date, and Done By.
5.1.11 Receiver fills the date on label at the time of affixes a label.
5.1.12 Make an entry in the chemicals, reagents and solvent receipt and issuance record as per Annexure-I.
5.1.13 Make an entry in the Glassware`s receipt and issuance record as per Annexure-I.
5.1.14 Use before date of chemicals will be three years from the date of opening the chemical bottle or

expiry date mentioned on manufacturer label whichever is earlier
5.1.15 Record the entry of chemical received in “Chemical Stock Record”, and “Glassware Stock Record” on stock register.
5.2 Storage
5.2.1 All the chemicals should be properly labeled. Stored below 30C in cool and dry place or as per

instructions given on original label of container or bottle.
5.2.2 Store poisons materials like Cyanogen Bromide (CNBr) separately in well closed pack under lock and key arrangement.
5.2.3 Store flammable solvents and chemicals in Flammable Liquid Storage Cabinet.
5.2.4 Store all the chemicals (solid and liquid) in alphabetical order (in separate cabinet) to avoid

inconvenience to search any chemical.
5.2.5 Store the glassware in separate cabinet as per categories of glassware.
5.2.6 The Shelf life of solid chemicals is five years from the date of manufacturing if it is not used and tightly

closed in mother Bottle which is supplied by supplier or three year, from the date of opening the container

or bottle. After expiry date it has to be destroyed as per respective SOP.
5.2.7 The Shelf life of liquid reagent / solvent is three year from the date of manufacturing if it is not used

and tightly closed in mother bottle which is supplied by supplier or one year, from the date of opening

the container or bottle. After expiry date it has to be destroyed as per respective SOP.
5.2.8 The shelf life of readymade indicator solutions is three year from the date of manufacturing if

it is not used and tightly closed in mother bottle which is supplied by supplier or one year, from the

date of opening the bottle. After expiry date it has to be destroyed as per respective SOP.
5.2.9 The shelf life of readymade Buffer solutions is two year from the date of manufacturing if it is

not used and tightly closed in mother bottle which is supplied by supplier or one year, from the

date of opening the bottle. After expiry date it has to be destroyed as per respective SOP.
5.2.10 If physical appearance of chemical is changed before the expiry date, it has to be destroyed as per

respective SOP.
5.3 Issuance
5.3.1 After issue the item user fill the detail on label like: Name of Item, Batch No., Make, Date of Opening and

Use before Date, and Done By.
5.3.2 For opening a new bottle of chemicals always follow FIFO system (First in first out).
5.3.3 At the time of issue make an entry in the chemicals, reagents and solvent receipt and issuance record as per Annexure-I.
5.3.4 At the time of issue of glassware make an entry in Glassware`s receipt and issuance record as per Annexure-I.
