1.0 OBJECTIVE
1.1 To describe a procedure for material receiving and consumption record of engineering department.
2.0 SCOPE
2.1 This procedure is applicable to all material receiving and consumption record in the engineering
3.0 RESPONSIBILITY
3.1 Maintenance officer
3.2 Overall responsibility : All Water system Department.
4.0 ACCOUNTABILITY
4.1 Engineering head shall be accountable for compliance of SOPs.

5.0 PROCEDURE
5.1 Material Receiving
5.1.1 Security shall verified the documents and inform to the Engineering department about the arrival of the material by forwarding documents
5.1.2 Documents shall be verified by the stores personnel for the address, P.O. No, Material Name, COA and Excise documents.
5.1.3 1.1.1 Ensure that COA of vendor is legible and signed by the competent person of the respective company. If not, immediately arrange to get a legible copy from the vendor.
5.1.4 1.1.2 If the documents are satisfactory inform to the security to allow the vehicle inside and direct the vehicle to the concerned receiving bay.
5.1.6 1.1.1 Handle the containers / packs carefully to avoid damage or loss of seals.

5.1.7 Quantities shall be cross verified against Delivery Challan / invoice
5.1.8 All materials received as per format No.
5.1.9 Check the following while unloading the material into the receiving bay.
5.1.9.1 Number of containers received shall be checked against the delivery challan.
5.1.9.2 Integrity of the containers shall be checked for any physical damage / leakage
5.1.9.3 Check the manufacturer’s batch number / lot number, lot quantity, date of manufacturing, date of expiry, name and address of the manufacturer.
5.1.9.4 Check the manufacturer’s description / pharmacopoeia grade.
5.1.9.5 Check whether the supplier is on Approved vendors list.
5.1.10 Quarantine:
5.1.10.1 Enter the details of the material in the respective MRR register.
5.1.10.2 Material Received Report shall be prepared and the same shall be forwarded to QC department for sampling and analysis.
5.1.10.3 The copy of the delivery challan/invoice shall be filed in the respective file.
5.1.10.4 QC personnel shall ensure the vendor COA results are meets the requirement of our specification. If not, forward the MRR with

vendor COA to Quality assurance Head for the further corrective action in coordination with purchase and vendor.
5.1.10.5 If the result of vendor COA meets the requirement of our specification, QC personnel shall sample the material as per respective sampling SOP.
5.2 Consumption Record
5.2.1 Consumption record maintain as per format no.

6.0 TRAINING
6.1 Trainer – Head of department.
6.2 Trainee – All concern department.
6.3 Period – One hour or as per required.

7.0 DISTRIBUION
7.1 One set of master copy & controlled copy submitted the quality assurance department.

8.2 : Consumption record
