1.0 OBJECTIVE:
1.1 To lay down the procedure for the Execution of Preventive Maintenance.
2.0 SCOPE:
2.1 This procedure is applicable for the Execution of Preventive Maintenance
3.0 RESPONSIBILITY:
3.1 Engineering Department and production department shall be responsible for the Execution of Preventive
Maintenance.
3.2 Operator/Officer/Executive Engineering Department shall be responsible for to verify the proper operation
And to take corrective action if any operational deviation.
4.0 ACCOUNTABILITY:
4.1 Head of the department shall be accountable for the SOP.
5.0 PROCEDURE:
5.1 PLANNING OF PREVENTIVE MAINTENANCE:
5.1.1 Manager / Executive –Engineering & Maintenance shall be responsible for preparation of annual

schedule for Preventive Maintenance of equipment.
5.1.2 Annual preventive maintenance schedule shall be prepared on yearly basis and it shall be approved

by QA head before 31st December every year.
5.1.3 If the existing schedule is to be revised due to any change/modification in the equipment

then Engineering & maintenance department shall raise a change control request as per change control procedure.
5.1.4 If any addition of new equipment addendum preventive maintenance schedule should be

prepared by Engineering & maintenance department.
5.1.5 The revised schedule shall be forwarded to concerned department for allocation and planning of equipment.
5.1.6 In the revised schedule effective date and revision number shall be incorporate.
5.1.7 Head-Engineering & Maintenance reviews the updated annual schedule.

5.2 EXECUTION:
5.2.1 Manager / Executive-Engineering & maintenance shall allot the maintenance job to Executive

Technician as per approved yearly planner.
5.2.2 The Executive / Technician will carry out the preventive maintenance job under supervision

of manager Executive-Engineering and Maintenance as per the instructions given in the respective

SOP of equipment. External party person can also be call as per the requirement.
5.2.3 After completion of preventive maintenance work, Executive / Technician will take a trial run.
5.2.4 Preventive maintenance shall be carried out as per the planner with a grace period as given below.
5.2.4.1 Monthly Preventive Maintenance : ±7 days
5.2.4.2 Quarterly Preventive Maintenance : ±7 days
5.2.4.3 Half Yearly Preventive Maintenance : ±15 days
5.2.4.4 Yearly Preventive Maintenance : ±30 days
5.2.5 In case the preventive maintenance activity (i.e., Quartly, Half Yearly, Yearly) gets proponed,

the next preventive maintenance activity shall be done as per available equipment with in the grace period.
5.2.6 If any important or major part / spare which are identical to the earlier part / spare are replaced,

the details shall be recorded in the Equipment History Card as per SOP.
5.2.7 After completion of preventive maintenance, the status label shall be updated on the equipment as necessary.

5.2.8 Critical equipment like Refrigeration plants, Air compressors are covered under annual

maintenance contract to the OEM / Expertise which however; preventive maintenance activities

shall be carried out by the department technician with the help of expertise whenever required.
5.3 RECORDS.
5.3.1 All duly filled Preventive Maintenance checklist and record shall be equipment wise.
5.3.2 Based on annual breakdown analysis, the schedule shall be reviewed.
