1.0 OBJECTIVE
1.1 To describe a procedure for preparing of preventive maintenance procedures.
2.0 SCOPE
2.1 This Standard operating procedure for Preventive maintenance of all equipment/instrument
3.0 RESPONSIBILITY
3.1 Operator/Technical Assistant – To follow the Procedure.
3.2 Maintenance Head shall accountable for compliance of this SOP.
4.0 ACCOUNTABILITY

5.0 PROCEDURE
5.1 Each equipment or Instrument or a system shall have Preventive Maintenance Procedure in the shape of a Standard Operating Procedure (SOP).
5.2 Each preventive maintenance SOP can be equipment/instrument/component specific or depending upon its application, it can

be a single or common SOP for carrying preventive maintenance of different equipment/instrument/component. There can be

a common SOP on preventive maintenance of gearbox or motors of the concern equipment.
5.3 The scope of preventive maintenance SOP of each machine shall include; Machine name, Name of

Manufacturer/Supplier, Make and Model of Machine and Equipment Identification No.
5.4 The procedure of preventive maintenance shall be written considering the frequency of usage, handling and operation of machines,

internal cleaning and lubrication.
5.5 Annual preventive maintenance planner shall be prepared for a complete year by Maintenance Department and approved

by Head of Maintenance department, concerned department and Quality Assurance. Controlled copies of planner shall be

given to concern department and original copy shall be retained with Quality Assurance Department and one copy display of section wise.
5.6 A monthly Preventive Maintenance Planner shall be developed by incorporating planed date, as approved on

Annual Preventive Maintenance planer in last week of every month. Concern Department shall approve the same

Monthly Preventive Maintenance Planner on the basis of availability of equipment for Preventive Maintenance for

respective dates and same shall be approved by head of Maintenance Department.
5.7 Maintenance person shall mark upper half box in red color for planned date within acceptable tolerance shall

mark lower half in box with yellow color and Concerned deptt. Shall mark in lower half box with green color for agreed

date as the Availability of the Machine/equipment with in tolerance limit.
5.8 The Preventive maintenance schedules shall have ±7 day’s acceptable tolerance and maintenance shall be done within this period.
5.9 Preventive Maintenance procedure of each machine shall have preventive maintenance checklist and spare part

used list during maintenance .Preventive Maintenance checklist shall be made as per recommendation of the manufacturer, operation and

maintenance manual and operational experience mentioned in this SOP.
5.10 Preventive Maintenance check as per checklist shall be sign on “Done by” a technician and “approved by” supervisor/Manager

Maintenance and Concern Department. Spare part use during preventive maintenance shall be recorded on spare part use format as per Format.
5.11 A History card shall be prepared by Maintenance department for each machine, which contains all the information related

to that machine i.e. Machine Name, ID .No, Make, Model, Motors, Belt, other consumable details, and Utility services required.

Preventive maintenance and Breakdown maintenance history will be recorded at the back side of the history card along with spare part used,

same shall be sign by Technician on “Done by” and checked by supervisor/Manager, maintenance depart .
5.12 Any major repair or replacement of any critical part which affect the performance of the machine shall be taken through change control Procedure.
5.13 Maintenance person shall prepared a critical spare part list as per Format and submit the list to QA Department.
5.14 QA person shall review the list and make it master by stamping “MASTER COPY” and prepare controlled copy of the master copy for distribution to separate departments.
5.15 QA person shall issue the controlled copy of critical Equipment list and critical spare part list to different department as per the requirement.
5.16 All preventive maintenance records shall be retained for a period of at least 7 years from the date of generation of that record.

6.0 TRAINING
6.1 Trainer – Head-Engineering.
6.2 Trainee – All Concern Person.
6.3 Period – One hour or as per required.

7.0 DISTRIBUION
7.1 One set of master copy & controlled copy submitted the quality assurance department.
